Google Meet: decide what your team sees before a call

A new Google Meet notice can explain your rules for recordings and AI notes before people join. Choose the message, its owner and when it should appear.

The useful part

Ask your operations lead to own the meeting notice and your Meet administrator to test it with colleagues and a guest. Check consent and access settings separately.

Make meeting rules easy to find

If your team uses AI meeting notes, decide what colleagues and guests should know before the conversation starts. Give one person responsibility for that explanation, then check that it matches how your team actually handles the notes.

Google has introduced a way for eligible Workspace administrators to put a custom policy notice on the screen before someone joins a Meet call. The announcement was published on November 3, with rollout starting November 2.

For a leader expanding meeting notes across a team, this creates a useful choice: explain the rules at the point people join, rather than relying only on a policy they may not have seen.

Read the announcement: Google Workspace: custom policy notice before Meet calls.

Choose when the message appears

The notice can appear before every meeting, or only when recording, transcription or Gemini note-taking is already active. Transcription means turning the conversation into written text.

An administrator can add up to 1,000 characters of plain text and a link to the full policy. Different departments can have different notices. Google says external guests can review the notice set for the meeting host too.

Our perspective: use the short message to answer the question a participant is most likely to have. Explain why information is being saved and where to find the rules about who can read it. Keep the full detail in a policy your intended readers can open.

Check your plan and rollout

The feature is off by default. A person with Google Meet administrator privileges must enable it in Meet safety settings, under Meeting disclosure & privacy.

Eligible business editions include Business Standard and Plus, Enterprise Standard and Plus, and Frontline Plus. Google also lists education editions. Business Starter is not listed in the announcement.

The rollout may take longer than 15 days, so an eligible account may not show the setting yet. Prepare the wording now and check again as it reaches your account. Confirm availability before making a purchase decision around it.

Start with one team

Ask the operations or policy owner to approve the wording before the administrator enables it. Then review one real meeting setup before extending the notice across departments.

  1. Choose whether the notice belongs before every call or only while the listed features are active.
  2. Check one internal participant and one external guest can see the intended notice and open its policy link.
  3. Compare the message with the actual consent, file-access and storage settings.
  4. Tell hosts who answers questions and who updates the wording when the policy changes.
