How to introduce AI into work your team already does

Introduce AI through a real workflow, define review responsibilities and measure whether people can complete the work effectively.

The useful part

Have participants find and correct an unsupported statement before sharing a draft, then check their reasoning.

Choose a task the team already knows

An AI rollout has achieved little if the tool is available but staff cannot use it confidently in the work that matters. Adoption needs a clear task, practical support and a way to improve the process after people begin using it.

An AI adoption consultant should help the business connect the technology change to those everyday conditions. Agree which completed tasks would show that staff can use the tool effectively.

Choose a task people recognize

Start with a repeated activity and a team that understands its current difficulties. Describe the result the new approach should produce, the information involved and the parts that still require a person's judgment.

An AI workflow audit can establish that starting point. Ask for evidence about the current process, a realistic next step and the assumptions behind the recommendation. Keep tool selection connected to the task.

Make responsibilities clear

AI change management consulting should identify who owns the process, who approves the new working method and who provides help. Include the people responsible for information access and quality checks.

Explain what staff can do with the tool, what needs review and how to report an uncertain result. If the new process creates extra checking for another team, measure that work and assign an owner.

Train through complete work

AI enablement services should give staff practice on representative tasks and the opportunity to handle exceptions. Have participants choose suitable inputs, review the answer and complete the next step themselves.

Microsoft's Copilot adoption resources include readiness, enablement and ongoing learning material. They provide a product-specific example of adoption extending beyond installation. Confirm the needs and capabilities of the actual tools your team will use.

For an illustrative practice task, have a participant prepare a draft from approved information, identify an unsupported statement and correct it before sharing. Check whether they understand why the correction was needed.

Give local helpers a defined role

An AI champions programme can create a route for colleagues to share useful examples and get practical help. State what those helpers are responsible for and when they should escalate a question rather than improvise an answer.

Keep examples current and accessible. If staff repeatedly struggle with the same step, change the instructions, tool configuration or underlying workflow. Repeating the same training may not address the cause.

Measure whether the new process is useful

Track suitable completed tasks, review effort, errors and the experience of the people doing the work. Compare them with the starting process under stated conditions. Measure time and review effort before and after the change alongside tool usage.

AI transformation services should have a sequence of such decisions and results. Agree which changes come first and how the business will decide whether to expand, adapt or stop an approach.

AI App Studio can help introduce practical AI through setup, training and real workflows. Book a call with the task your team wants to do better.
