What to include in an application maintenance agreement

Define what a provider monitors, handles and improves after launch, including how the arrangement covers the behavior and costs of AI systems.

The useful part

Separate incident response targets from change capacity and check what the provider can actually recover.

List the work that needs an owner after launch

After software launches, the business still needs someone to notice failures, maintain dependencies and decide which improvements deserve attention. Application maintenance services should make that continuing work visible and accountable.

The first question is what the provider is responsible for. A promise to look after the application is too vague to compare with a useful service agreement.

List the systems and the work covered

Name the application, hosting, connected services, business accounts and information stores included. Identify the components another supplier operates and who coordinates with that supplier when something fails.

Managed application services may include monitoring and operation. Outsourced software support may focus on requests and incident handling. Ongoing software development adds changes to the product. Ask which responsibilities the proposed fee actually buys.

For an illustrative booking tool, distinguish a failed customer request, a change to booking rules and an interruption at an external payment provider. Each may need a different response, approval and budget.

Separate response from resolution

Agree service hours, how a request is raised and what makes an incident urgent. Define response time and resolution separately. The first measures when someone starts handling the request. The second depends on the incident, the available workaround and any external supplier.

The business needs a contact for urgent decisions and the provider needs enough information to investigate. Record who can approve a temporary workaround and how users will learn what to do while normal service is interrupted.

Connect monitoring to practical recovery

A software maintenance company should explain which failures it can detect and who acts on an alert. Check backup responsibilities and whether recovery has been tested for the system being covered.

AWS's reliability guidance treats maintenance, change and recovery as connected concerns. Ask any provider to show how an alert reaches an owner and how that person verifies recovery.

Keep account access, important settings and operating instructions available to the people authorized to take responsibility. A recovery plan should remain usable if the usual individual is unavailable.

Define maintenance and improvements separately

Agree how dependency updates are assessed, tested and released. Define what capacity is available for new work and how priorities are chosen. When a plan accepts unlimited requests, confirm how much work it can deliver per month and how it queues requests.

Managed AI services need additional attention to model behaviour, usage costs and changes in the information an assistant uses. Decide who reviews quality, updates evaluation examples and can pause the system when its output becomes unsuitable.

Plan review and handover

Review incidents, recurring requests, running costs and completed improvements. Use that review to choose the recurring issue or improvement the provider should tackle next.

Confirm notice periods, account ownership and how another provider can take over. AI App Studio can help define ongoing support and improvement for a business system. Book a call with the application and the responsibility you need someone to own.
