How to automate customer onboarding, renewals and feedback

Connect onboarding, support, renewals and feedback so automated messages reflect what the customer has already done.

The useful part

Test an unfinished setup followed by a conversation with staff, and check what happens to scheduled follow-up.

Define the first result the customer needs

After a customer agrees to work with a business, they may still need to provide information, complete setup, meet the team or learn how to use the service. A disconnected handover can make that first experience slower than the sale.

Customer onboarding automation should make the next step clear to both the customer and the person responsible for helping them.

Define the first useful result

Choose what successful onboarding means from the customer's perspective. Identify the information, access, approvals and human conversations needed to reach that point.

Client onboarding automation should preserve promises made during the sale and make any missing information visible. Avoid sending the same generic instructions to customers who have already completed the relevant step.

Give the process a reliable start and stop

Decide which event begins the workflow and which record confirms it is complete. Include duplicate requests, delayed payments where relevant and customers who need help before proceeding.

HubSpot's workflow guidance distinguishes enrollment, repeated enrollment and unenrollment. Decide which customers qualify for each step and what event should stop the workflow.

Combine automated and personal help

Customer success automation can create reminders, surface incomplete tasks and route a question to the right colleague. It should also make a handover to a person understandable.

For an illustrative acceptance test, a customer begins setup, encounters a problem and speaks to the team. Check that automated messages respond to the updated situation and that the next colleague can see the useful context.

Plan renewals from current records

Renewal automation should account for the actual agreement, dates, responsible person and customer status. Decide when the team needs to review the relationship before any message or change occurs.

Include amendments, cancellations and customers already discussing a change. Use date-based reminders to prompt the owner to review the relationship and agreed terms.

Make feedback useful

Customer feedback automation should ask at a meaningful point and send the response to someone who can act. Keep a route for the customer to explain a problem in their own words.

Review request automation is a related but separate task. Define which customers receive the invitation, the destination and who manages replies or questions. Follow the relevant platform's current requirements and keep feedback collection connected to service improvement.

Measure progress through the journey

Track the time to a useful result, incomplete steps, requests for help and repeated causes of delay. Keep messages sent and completed customer outcomes as separate measures.

Assign someone to review the workflow after launch and update it when the offer, product or handover changes. The documentation should explain the current rules and how a customer can be moved out of an unsuitable sequence.
