How to plan a data migration and software modernization

Map the records, relationships and working rules that need to survive a system move, then rehearse the switch and recovery.

The useful part

Include work created after the switch in the rollback rehearsal so a return to the previous system preserves legitimate changes.

Define what has to survive the move

Moving to a new system is successful when people can still complete their work and trust the information they find. Have the people who do the work agree what they need to find and what must happen when they use the new system.

Data migration services should cover meaning, relationships, verification and the transition between old and new ways of working.

Decide what should move and why

Inventory the information, attachments, account roles and connections the business depends on. Identify what needs to remain usable, what should be archived and what should be deliberately left behind. Keep the owner of each decision clear.

CRM data migration may need conversations and open opportunities as well as customer names. An Access database migration may also need to replace forms, reports and working rules embedded in queries or macros. Ask users which actions the old system performs that are easy to overlook.

Make the mapping reviewable

Database migration services should explain how old fields become new ones, how records match and how relationships survive. Resolve differences in dates, statuses and identifiers before the final run.

For an illustrative migration, a customer with several contacts and an outstanding request should remain connected to both. The total record count can match even if a request has been attached to the wrong person.

Agree checks for counts, totals, relationships and representative records. Microsoft's preview migration guidance for Dynamics 365 distinguishes different verification methods and leaves responsibility for testing and reconciliation with the customer. For your project, agree who verifies each part and signs off on unresolved differences.

Rehearse the switch and the way back

Use a safe trial destination to find missing rules and information. Measure how long the move takes and what staff must do while it runs. Decide whether changes made during the transition will be paused, captured or reconciled afterward.

The rollback plan needs to account for new work created after the switch. Returning to an older copy without handling those changes can lose legitimate records. Agree the decision point, authority and practical recovery process before the move begins.

Modernize the right part of the system

Legacy software modernization can mean replacing one fragile dependency, introducing a new interface or rebuilding a process. Application modernization services should identify the intended business improvement and the parts that must continue to work together.

Compare a staged replacement with a complete switch. Keeping two systems temporarily can reduce one risk while adding reconciliation and operating costs. Ask who owns that temporary arrangement and how it ends.

Accept the result as a working process

Have the people who operate the system complete realistic tasks using migrated information. Include permissions, reports, connected tools and access to archived material. Record unresolved differences and get approval from the people responsible for each affected process.
