How to compare managed IT services pricing and contracts

Compare support quotes on the same users, devices, included work and escalation commitments. Account for setup, licences and exit costs.

The useful part

Have each supplier price the same account, device, integration and planned change scenarios in writing.

Give each supplier the same inventory

Two IT support quotes can have the same monthly fee and cover very different work. One may include routine account and device changes. Another may charge separately or cover a different set of systems.

To compare managed IT services pricing, establish the responsibility first and then compare the complete cost of meeting it.

Build a common inventory

Give each supplier the same list of users, devices, important applications and locations. Describe working hours, customer-facing dependencies and existing supplier arrangements. Include changes already expected during the contract.

A quote based on incomplete information may need adjustment as soon as the provider discovers the real environment. Ask each supplier to state the assumptions behind its price and the conditions that would change it.

Understand the charging unit

A proposal may charge by user, device, server, named system or an agreed overall scope. Ask what is counted and when the count changes. Confirm how temporary users, shared devices and people with several devices are treated.

A flat fee still needs a capacity definition. Establish whether projects, improvements and repeated requests are included, limited or quoted separately. Ask for the limits and extra charges in writing.

Compare a complete operating cost

Set out the recurring support fee, licences, usage-based services, initial setup and expected project work. Add any charges for on-site visits or support outside the included hours. Keep taxes and currencies explicit in the supplier's written proposal.

Forge Soft's service page illustrates how an outsourced arrangement can combine several technology responsibilities. Check how each proposal charges for cloud administration, recovery work and custom software changes.

Software and cloud subscriptions may continue to be billed separately. Decide whether the business buys them directly or through the provider and how the business retains access if the support arrangement ends.

Price the response you need

Define the systems for which an interruption matters most. Ask the provider to explain response and restoration commitments, the hours those commitments apply and the process for escalation.

A lower fee may fit a service that can wait until the next working day. Another task may need a different operating arrangement. Buy the commitment the process requires, and verify that it is written into the agreement.

Run the same scenarios through each quote

Ask each supplier to price a new employee setup, a lost device, a failed integration and a planned application change. Ask what the provider would do, what remains with your team and which additional charges would arise.

This exercise can reveal a more useful difference than comparing a long list of included product names. Record the answer so the eventual operating team understands the arrangement too.

Keep the exit cost visible

Confirm notice periods, renewal changes, account ownership, documentation and handover assistance. Include any work needed to move licences or administrative control. Compare the first year and continuing arrangement separately where setup costs differ.
