How to choose managed network and server services

Specify what a network or server provider manages, who responds when work stops and how the business retains control.

The useful part

Simulate a lost connection and verify which provider investigates and how the business knows service has returned.

List the systems people need to reach

When connectivity or a server becomes unavailable, the team needs to know who can investigate and restore the work. A managed agreement should connect the equipment and hosting arrangement to that operating responsibility.

Managed network services and server management services can cover different parts of the environment. Start with the systems and tasks people rely on, then make the boundaries explicit.

Build a usable system inventory

Record the relevant locations, network equipment, servers, hosting accounts and important applications. Identify what is owned by the business, rented from a provider or managed by another supplier.

Include internet connections, remote users and dependencies between systems. Keep the inventory understandable enough that a responsible colleague can find the right supplier when the usual contact is unavailable.

Specify the continuing administration

Windows Server administration should name the machines, operating responsibilities, access arrangements and maintenance work included. Ask who handles application changes and how the server work is coordinated with them.

Network monitoring services should define the conditions being checked and the response to a detected problem. A notification only helps when someone receives it, understands its significance and has an agreed route to act.

Treat remote access as a business process

VPN setup for business should identify who needs access, from which devices and to which systems. Include joining, changing responsibilities, lost devices and departures in the operating plan.

Firewall configuration services should document the purpose of important access rules and how changes are requested and reviewed. Give each exception an owner, a reason and a date to review it.

Agree the supplier boundaries

AWS's shared-responsibility guidance illustrates how operational responsibilities vary with the services selected. Document who operates each layer in your actual environment, including the network, server and application.

Ask which tasks remain with hosting, internet, application and security suppliers. Name the person who coordinates a problem crossing those boundaries. The business should not have to resolve a dispute between providers before investigation begins.

Test recovery through a representative interruption

For an illustrative exercise in a controlled environment, make a required connection unavailable and follow the issue through detection, notification, diagnosis and recovery. Check whether the operating instructions and contacts are sufficient.

Record what the test demonstrated and which wider scenarios remain untested. Repeat the exercise for locations or applications with different dependencies.

Compare hours, capacity and handover

Specify service hours, response commitments, planned maintenance and any on-site work. Include hardware replacement, licences, hosting and project changes in the complete cost comparison where applicable.

Keep administrative control, configuration records and recovery instructions available to the business. Agree how another provider could take over the environment without depending on undocumented knowledge.
