A private company knowledge chatbot: decide who can see each answer
Choose which questions a company knowledge assistant should answer, how it finds approved material and what each user is permitted to see.

Choose the information and users first
When staff repeatedly search shared folders or ask colleagues where an answer lives, a company knowledge assistant may help. The first decision is which information it should use and which people may receive each part of it.
A private AI chatbot is not defined by a private-looking chat window. Ask how the system controls the documents it retrieves, the answer it creates and any records it keeps afterward.

Decide which questions it should answer
Choose a specific body of information and a group of users for the first release. An internal knowledge base chatbot for one maintained procedure is easier to evaluate than an assistant connected to every company folder.
Collect representative questions and identify the document that should support each answer. Include questions with no approved answer and questions that depend on a person's role. A useful assistant needs a way to say that the available information is insufficient.
For an illustrative onboarding assistant, staff might ask how to request equipment. The answer should point to the current process. It should not reveal a restricted purchasing agreement simply because that agreement mentions the same equipment.
Understand retrieval before calling it training
An AI chatbot trained on company data can mean several different things. Some systems retrieve relevant passages from documents when a question is asked. Others involve a separate training process. Ask the supplier to explain which approach they propose and what information leaves your systems.
RAG development services refer to retrieval-augmented generation: finding relevant information and using it to help construct an answer. Microsoft's Azure AI Search documentation describes this pattern and identifies access control as a central challenge. Retrieval does not make the generated answer automatically accurate.
Request a plain account of the journey from question to answer. Which systems are searched? Which service receives the selected text? What is stored, and who can delete it? Confirm the arrangement for the proposed products and accounts rather than relying on the label private.
Keep permissions connected to the information
The assistant should respect the access the user is entitled to, including when documents are moved, shared or withdrawn. Decide how quickly those changes must reach the search system and what happens while an update is pending.
Test the same question as people with different permissions. Include an account that should not have access. A source link is useful, but refusing access to the link after revealing its contents in the answer would be too late.
Enterprise AI search may return documents rather than compose a response. That can be the better first step when people mainly need to find an authoritative file. Compare search and generated answers against the actual task.
Give every important document an owner
Remove or label superseded instructions, resolve conflicting versions and decide who approves changes. An assistant cannot establish your company's policy from two inconsistent files without a decision from someone responsible for that policy.
Show sources in a way users can inspect. Review answers against the underlying material and check whether the response adds a claim the source does not support. Track unanswered questions separately: they may expose a documentation gap rather than an AI failure.
Agree a first-release acceptance check
Use approved questions to check answer accuracy, source relevance, permissions and behaviour when no answer exists. Include the team's review effort in the pilot. Name the owner who can pause the assistant or remove information if something is wrong.
AI App Studio can help scope and build an assistant around approved company knowledge. Book a call with the questions people repeat and the systems that hold the answers.
