How to diagnose business email delivery problems

Work out where a missing message stopped, then scope sender authentication, migration or application notifications around that evidence.

The useful part

Inventory every legitimate sender before tightening a domain policy so staff mail and product messages keep working.

Find where the message stops

When business messages fail to arrive, the useful question is where the journey breaks. The application may not have sent the message, the receiving service may have rejected it or the recipient may be looking in a different place.

Business email setup services and work with an email deliverability consultant can address different parts of that journey. Agree the problem and the evidence before changing settings.

Inventory every service that sends for the business

List workplace mail, the customer system, marketing tools, forms, invoices and product notifications. Identify the domains and accounts each service uses. Otherwise, correcting one sender can leave another forgotten or accidentally blocked.

Email migration services need to preserve that operating picture. Include website and application senders alongside staff mailboxes in the transition brief.

Understand what authentication does

An SPF DKIM setup service configures mechanisms receiving systems use when checking a sender's domain and message authentication. DMARC setup services add a policy and reporting arrangement around domain authentication and alignment. Ask a supplier to explain the intended configuration and the evidence that all legitimate senders have been considered.

Google's sender guidelines describe requirements for mail reaching personal Gmail accounts, with requirements that differ by sending volume. Check the requirements of the receiving services your customers use.

Diagnose before promising an outcome

Use examples of messages that arrived and messages that did not. Keep timestamps, sending-service records and receiving responses where available. Distinguish delivery to a receiving system from visibility in a particular person's inbox.

Content, sending practices, recipient expectations and technical configuration can all affect the result. Ask the consultant to explain which factors they can test, what the evidence shows and how the business will monitor delivery afterward.

Follow application messages beyond the send request

Transactional email integration connects product events to messages such as confirmations or account updates. Decide which system triggers the message, what happens if sending fails and how a retry avoids duplicates.

For an illustrative booking confirmation, staff should be able to see whether the request was accepted and investigate a missing message. The customer also needs a way to confirm the booking without relying solely on an email arriving.

Make changes in a controlled sequence

Keep a record of existing senders and settings, agree the change and monitor the result before tightening a policy that could affect legitimate messages. Name who can approve and recover from a change. Access to domain settings should be limited to authorized work.

AI App Studio can help investigate a business email workflow and connect its notifications. Book a call with examples of the message and the customer step affected.
