How to manage employee access when roles change

Set role-based access across the apps people use and verify account creation, access changes, sign-in recovery and removal.

The useful part

Test a joiner, a team transfer and a departure in each important application, including the actions the employee should be blocked from taking.

Start with the role and the person who approves it

An employee's access should match the work they are responsible for today. That becomes difficult when accounts are created separately, team changes are recorded in different places and nobody can confirm which permissions still apply.

Identity and access management consulting should help the business create a dependable process for joining, changing roles and leaving. The result needs to work across the applications people actually use.

Choose the authoritative employee record

Decide where an employee's role, team, start date and departure are approved. Identify who is allowed to change each value and how corrections are handled. A reliable access process starts with a reliable instruction about what should happen.

For contractors and other temporary users, record an owner and an end date. Consider rejoining employees and people with more than one responsibility. Include those cases in the pilot.

Define access by the work

Employee access management should explain what a role needs, which permissions require separate approval and when access is reviewed. Document who owns each application and can decide whether a request is appropriate.

Okta implementation services and Microsoft Entra ID consulting can help configure identity platforms, but the supplier still needs those business decisions. Ask the owner of each process who can see a customer record or approve a payment.

Check each connected application

Okta’s lifecycle documentation describes ways to create, change and remove application access as a person moves through an organization. Verify which changes each application supports.

Ask for an application-by-application inventory of supported actions. Separate account creation, group assignment, permissions, session handling and information ownership. Identify any steps a person must still complete and make them visible in the workflow.

User provisioning automation should report failed or incomplete changes. Check the resulting permissions in each required application.

Test access from both sides

In an illustrative pilot, create a test employee, assign an approved role, move that person to another team and then remove access. Check what they can reach at every stage, including information they should not be allowed to see.

MFA implementation services add a further check when people sign in. Include enrollment, lost-device handling, recovery and accessibility needs in the rollout. Decide how a user gets help without bypassing the process through an informal request.

Keep ownership after implementation

Assign responsibility for platform settings, connectors, access reviews and departures. Check what happens if the usual administrator leaves. The business should retain control of its accounts, documentation and a tested route to recover administrative access.
