How to use IT consulting to choose business software

Scope an IT assessment or selection project around the work you need to improve, then compare options and disclose supplier ties.

The useful part

Ask the adviser which assumption could change the recommendation and how they would test it.

Name the decision before comparing products

When several tools or suppliers look plausible, the useful purchase is a clear decision with reasons, costs and a practical next step. Ask the consultant to specify the evidence and tradeoffs that would support a decision.

Bring the work that needs to change and the decision you need to make. You do not need to arrive with a technical specification.

Define the decision and its constraints

Name the people doing the work, the result they need and the current bottleneck. Include existing contracts, information, integrations and the time available for a transition. Separate a necessary requirement from something that would merely be convenient.

The UK Government Service Manual describes understanding a problem and its constraints before committing to a solution. Use that sequence to test whether a preferred product would actually solve the problem.

Decide what kind of review you need

IT assessment services may inventory the current environment, identify gaps or examine a particular process. A software selection consultant should compare options against agreed requirements and explain the tradeoffs. Ask which decision the assessment will support and what evidence will be collected.

Technical due diligence services examine technology in the context of an investment, acquisition or other significant commitment. That can involve a different scope and specialist expertise from choosing a team tool. Define the commercial question before commissioning a broad technical review.

Compare keeping, configuring and replacing

For an illustrative request-handling problem, options might include improving the existing form, connecting it to a shared queue or replacing the workflow. Compare the full arrangement, including migration, access, training and operation. A lower subscription price does not necessarily mean a cheaper transition.

An IT consulting company should make important assumptions visible. Ask which uncertainties require a demonstration or trial and what would change the recommendation. Keep a record of the options rejected and why, so the business can revisit the decision if conditions change.

Understand the adviser's commercial role

IT consultancy services can be independent or tied to implementation or resale. Ask about resale fees, referral arrangements and whether the adviser also wants to deliver the implementation. Ask the adviser to disclose those relationships in the recommendation.

Leave with a decision and an owner

Useful deliverables include the requirements, options, recommendation, cost assumptions, unresolved questions and implementation responsibilities. Decide who approves the choice and who will own the resulting system. A recommendation without an operating owner can stall after the purchase.

AI App Studio can help compare software and technology options around a business need. Book a call with the decision, current tools and the work you want to improve.
