How to plan a Microsoft 365 migration and handover

Plan the move of mail, SharePoint files and Teams work. Test access and workflows before switching and agree who runs the environment afterward.

The useful part

Have a pilot group use mail, shared files and meetings, including a person whose access should be restricted.

List the work that needs to keep moving

Moving email and files into Microsoft 365 should leave people able to find information, communicate and complete their work. Ask the people doing the work to verify that result in a pilot.

Start by listing the services, information and people affected by the change.

Inventory the working environment

Identify mailboxes, calendars, shared information, access groups, connected applications and the domains the business controls. Record which accounts or suppliers currently administer them. A transition can expose an ownership gap that was invisible while the old setup continued to work.

Microsoft's deployment resources distinguish learning, deployment, migration and adoption. Check which support options fit the actual account and project, then compare them with the work a proposed implementation partner will provide.

Separate the migration jobs

SharePoint migration services should address where shared information belongs and who can use it. Copying every folder into a new location can preserve conflicting versions and inappropriate access. Ask the people who own the information to approve the destination structure and permissions.

Microsoft Teams implementation involves the collaboration process as well as access to an application. Decide how teams, shared spaces and working information relate. Give people a clear place to complete a task without requiring them to search several competing versions.

Microsoft 365 tenant migration refers to moving between organizational environments. It can have different constraints from introducing Microsoft 365 for the first time. Ask a supplier to identify what can move, what must be recreated and what will require a separate transition process.

Pilot the actual work

For an illustrative pilot, have a representative group receive mail, access a shared document, attend a meeting and use a connected business application. Include someone with restricted access and someone using a device that is typical of the team.

Test the rules people will rely on after the change, including shared ownership and account recovery. Agree how differences are recorded and resolved before the wider switch.

Plan the transition window

Define the sequence, the period of disruption the business can accept and how late changes will be captured. Staff need to know which system to use during the transition and where to ask for help. Keep a practical recovery plan and a decision-maker available.

Agree who will administer the result

Microsoft 365 consulting can cover advice or a defined implementation project. Microsoft 365 managed services should name continuing responsibilities, access changes, service hours, licensing work and support boundaries. Make the difference clear in the proposal.

Keep the organization's accounts and operating information under agreed business control. AI App Studio can help scope a workplace-system transition and its handover. Book a call with the current setup and the work that must remain dependable.
