How to choose and set up a shared work platform

Compare work platforms by asking each supplier to show the same process from request through handover, approval and completion.

The useful part

Use the same real task when comparing proposals, including a step where the next owner needs more information.

Define the record people will work from

When work is scattered across messages, documents and boards, another workspace can make the collection larger. The useful change is an agreed place for the next action, its owner and the information needed to complete it.

Before commissioning a work-platform implementation, choose one process that people should be able to follow from beginning to end.

Define the work record

Decide whether one item represents a customer request, a project, an approval or another piece of work. Specify the essential information, the responsible person and the point at which that item is complete.

Include the difference between a reference document and a task. A useful guide can support many tasks, while a status update should not require people to search through several versions of that guide.

Ask the consultant to demonstrate your process

A Notion consultant should show how the proposed structure supports the team's documents and work. Ask someone unfamiliar with the setup to find a current instruction and the next action on a representative item.

A monday.com consultant or an Asana consultant should be able to explain the ownership, handover and status rules without relying on a polished demonstration board. For a ClickUp implementation, ask how the chosen structure will remain understandable as more work and people are added.

Use the same real process to compare proposals and confirm current product capabilities and plan limits with each supplier.

Distinguish project work from service requests

Jira implementation services may involve configuring how a team plans and tracks delivery. Jira Service Management implementation addresses service-management work such as incoming requests and their handling. Establish the actual buying decision before agreeing the configuration.

For an illustrative service request, a colleague asks for access, the owner requests more information and another team must approve the change. Check that the requester can see what is happening and that responsibility does not disappear between teams.

Decide what should connect

Identify calendars, customer records, email and other systems that need to create or update work. Define which system owns each value and what happens if a connection is delayed.

Avoid copying every possible field into every tool. A smaller set of reliable records is often easier to operate than a broad integration whose updates nobody understands. Keep a visible route for correcting missing or duplicated items.

Make adoption part of the handover

Notion's official partner programme includes implementation, integrations, training and ongoing support. Confirm which of these jobs the proposal includes.

Have the team practice a normal request and an exception before a wider launch. Give the workspace an owner who can approve structural changes, review access and keep instructions current.

AI App Studio can help organize a shared workflow and the tools around it. Book a call with the handover that currently gets lost.
