The useful part

Ask the finance owner to verify a test payment with a later refund, fee and delayed deposit.

Choose one mismatch the finance team needs to explain

Repeated finance work often involves checking that information in one system agrees with information somewhere else. Automation is useful when it makes those comparisons dependable and gives the responsible person a clear way to handle differences.

Start with the finance team's definitions, approval rules and evidence needs. The software should support those decisions and preserve a usable record of what happened.

Choose one reconciliation problem

Bank reconciliation compares bank activity with the accounting records. Payment reconciliation can also match individual payments, fees and refunds against a combined payout. Identify the transaction, settlement, fee and bank information involved, and state which result the team needs to verify.

Stripe's bank-reconciliation documentation provides a product-specific example of matching payouts to bank deposits. Its documented feature has eligibility limits, including direct US-based accounts and automated payout schedules. Confirm which tools and accounts support the required workflow in your market.

Keep differences visible

Agree matching rules, tolerances and the cases that need review. Keep missing information separate from a confirmed mismatch. A process should not force a match simply to produce a completed-looking report.

For an illustrative test, compare a payment with a later refund, a fee and a delayed deposit. Ask the finance owner to verify the final explanation. Include a repeated record so the test establishes how duplicates are identified.

Connect requests and approvals

Purchase order automation should preserve who requested the purchase, who approved it and which version became the commitment. Record what happens when a supplier, amount or delivery detail changes after approval.

Expense management automation needs the same clarity about evidence, categories and authorized review. Identify which values can be suggested and which judgments require a responsible person. Keep a clear route for correcting an employee's submission.

Support collections with current information

Accounts receivable automation should use an authoritative view of what is outstanding and the latest customer conversation. A payment received in one system should not leave an unrelated reminder continuing in another.

Define when a message is appropriate, who can pause it and how a dispute or promise to pay is recorded. Test the workflow with a partially paid item and a customer already speaking to a colleague.

Make reporting explainable

Financial reporting automation should preserve the meaning of each measure and the period it covers. Include the handling of corrections, delayed records and changed source definitions.

Have the finance team reconcile important totals and review representative transactions before relying on the output. Ask the finance owner to sign off on the calculations and treatment using those reconciled examples.

Agree the operating responsibility

Assign owners for source access, failures, review queues and changes to the workflow. Include tool costs and human checking in the comparison with the current process. Keep the business's records and operating instructions transferable.
