How to reduce software, cloud and AI costs

Review software licences, cloud resources and AI usage against the work they support, then test savings before committing to a change.

The useful part

Compare AI configurations by cost per usable result, including retries and human review.

Find which work created each cost

A technology bill becomes easier to manage when someone can explain which work created it, who benefits and what can change without damaging that work. Cutting the largest line item first may remove a useful service while leaving the underlying waste untouched.

FinOps consulting brings financial and operational ownership together. For a business buying software, cloud services or AI, the first deliverable should be an understandable account of the spend.

Establish what the bill includes

Collect invoices, contracts, account owners and usage information over a representative period. Include software subscriptions, cloud resources, AI usage, storage, support and any services paid through another team.

Separate committed costs from variable usage and note renewal dates. Software license audit services should reconcile what is purchased with how access and usage are managed. Ask account owners whether rarely used accounts support work that happens infrequently.

Give shared costs a sensible home

The FinOps Foundation describes allocation as assigning cost and usage to responsible teams or projects using account structures, labels and other information. The important business question is who can explain and act on each cost.

Some resources support several teams. Agree a consistent way to share those costs and record its limitations. A more detailed dashboard is only useful if the categories mean something to the people making decisions.

Compare cost with the completed job

AI cost optimization services should examine the task from request to usable result. Include repeated attempts, human review, external tools and work that failed before completion. A cheaper response can be more expensive overall if the team must redo it.

For an illustrative comparison, run the same representative document task through two configurations. Record usable completions, review time, errors and total usage cost. Choose an acceptable quality level before selecting the cheaper option.

LLM cost optimization concerns language-model systems. Ask about the model, input size, repeated calls and which tasks need the more capable configuration. Test both configurations on the same examples and compare cost per usable result.

Make changes in an accountable order

Cloud spend management services should distinguish unused resources, inefficient configuration and capacity the business deliberately keeps available. Check the effect of a change, record who approved it and keep a way to reverse it when appropriate.

SaaS cost optimization should also examine overlapping subscriptions and unused features. Confirm whether removing a tool would create manual work elsewhere. A consolidation project can cost more than it saves if migration, training and ongoing administration are omitted from the calculation.

Keep the review going

Give each recurring cost an owner and define a review cadence. Monitor the costs that change with customer activity separately from fixed commitments. Report what changed, the measured effect and any new service limitation.

AI App Studio can help review software and AI costs around the work they support. Book a call with the bill, the systems and the outcomes you want to preserve.
