How to connect inventory, warehouse and order systems
Connect stock, warehouse events and order fulfilment with rules for reservations, partial receipts, dispatches and returns.

Agree what each stock quantity means
An order process becomes difficult when sales, stock and fulfilment show different answers. Staff may promise an item that is already committed, miss a receipt or spend the day reconciling updates across tools.
Inventory system integration should establish a clear record of what exists, what is available and what needs to happen next. Start with the movements and decisions behind those values.

Define what each quantity means
Agree the meaning of stock on hand, available, committed, incoming and unavailable where those distinctions apply. Shopify’s documentation distinguishes these states. Check which quantity your team can use to make a promise to a customer.
Identify which system owns the record at each location and how reservations, returns and corrections affect it. Keep product and location identifiers consistent across connected tools.
Follow an order through fulfilment
Order fulfillment automation should account for acceptance, allocation, picking, packing, dispatch and confirmation as relevant to the process. Include partial completion and a customer changing the request.
Warehouse system integration should show when each event becomes visible elsewhere. Decide how the team sees a delayed update and which record they should trust while it is investigated.
Scope the platform implementation
A WMS implementation consultant works on a warehouse management system. Ask which parts of the physical process and software workflow are included, what staff must scan or confirm and which devices or labels are required.
Have a warehouse worker demonstrate receiving, picking or stock counting with the proposed devices. Identify the records and procedures that must change before staff can use the new approach reliably.
Connect purchasing to the demand record
Procurement workflow automation should preserve who requested an item, who approved it and what was ordered and received. An approved purchase and an available item are different states.
Supply chain software development may connect several organizations and systems. Define the permitted data exchange, acknowledgements and owner for a problem crossing company boundaries. Avoid assuming that each participant updates information at the same time.
Test the difficult movements
For an illustrative acceptance exercise, reserve an item, receive only part of a purchase, dispatch part of an order and then process a return. Reconcile the final quantities and financial handovers with the responsible teams.
Repeat a message and interrupt one connection. Check that movements are not applied twice and that the team can identify an incomplete transfer. Include a physical count correction so the system can explain why the recorded quantity changed.
Keep the process operable
Plan for new items, new locations, device problems and changes to connected suppliers. Assign owners for identifiers, exceptions and reconciliation. Record what the business receives at handover and how another provider could maintain the integration.
AI App Studio can help connect stock, orders and the workflows around them. Book a call with a transaction that currently leaves the team comparing conflicting records.
